Eligibility: To be eligible for nomination, nominee must be a current paid member as of August 16, 2016.  This is to meet requirement of the bylaws.  Membership status will be verified. Nominees will be notified and must agree to accept the nomination in order to be on ballot. It is possible to nominate yourself! To be eligible to nominate someone else or to vote, you must be a current paid member as of nomination or election dates.

 

How to nominate: Current members will be sent an email with the nomination email address. Send your email with nominee name, email, and/or phone number within the nomination period (see important dates below). To nominate, you must be a current paid member. Nomination must be accepted by nominee.

 

Voting: This will be held electronically for a 15 day period (see important dates below).  Details and access will be sent to current paid members at the time of election.

RESPONSIBILITIES OF THE OFFICERS

 

  1. President

 

–Act as Chairman of the Board of Directors

–Schedule and preside over meetings of the Board and general membership and develop the agendas for these meetings

–Define and work toward BRBC goals developed at the first Board meeting

–General charge and management of the business of the BRBC including signing and executing all contracts or instruments, except as otherwise provided in the Bylaws, or by resolution of the Board of Directors, and except in cases where the signing and executing of such contracts or instruments shall have been expressly delegated to some other officer.

–Communicate with the general membership on a regular basis

–Maintain channels of communication within the BRBC so that ideas and resources are available when needed

–Appoint committees and participate as an ex-officio member of all committees

–Act as the BRBC’s representative to the media, other bicycle clubs, and the general public, or if unable to do so, coordinate with the Advocacy Chairman and Publicity Chairman to find someone

-Work with and aid other BRBC officers in their respective areas of responsibility where a need is shown

–Pick up mail at BRBC’s post office and sort and distribute it. (The Membership Chairman may arrange for someone else to do this if the president’s residence or work place location is too far from the BRBC’s post office box)

–Represent the BRBC in local, regional, and national summits, councils, committees, and organizations where appropriate or if unable to do so, coordinate with the Advocacy Chairman and Publicity Chairman to find someone to do so

–Have a firm understanding of the BRBC’s Bylaws

–Obtain from the Secretary copies of those records necessary to manage the BRBC

–While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for the succeeding terms

–Before leaving office, provide a smooth transition for the President-elect by guiding him/her in those areas necessary to fulfill official responsibilities

  1. Treasurer

–Preside over Board and general membership meetings if the president is absent

–Keep custody of the BRBC’s monies in a bank account in the name of the Baton Rouge Bicycle Clubs–

–Pay bills promptly

–Deposit receipts

–Have a firm understanding of the BRBC’s Bylaws

–Open and maintain accounts with firms with which the BRBC regularly does business in order to minimize paperwork and inconvenience resulting from direct payment to such firms by BRBC members

–Report on BRBC’s financial condition at meetings in communications with members

–Maintain an account ledger recording all financial transactions of the BRBC with a correct balance maintained in all accounts

–Pay LAB dues promptly when they are due

–Keep checkbook current. Checks may be signed by Treasurer or President. Signature cards must be filed with the bank each year. Check stubs should be a complete and accurate record of all expenditures including the nature of payment or purchase, account to be charged, and indication that it has been posted to ledger

–Keep all receipts, canceled checks, bank statements and deposit slips

–Keep a record of all correspondence relating to the finances of the club

–Keep a record of contributions including the name of the donor

–Maintain a separate accounting of all receipts and disbursements relating to all events

–Prepare a financial statement of events within one month of conclusion

–Prepare an annual report on the financial condition of the BRBC in time for the first Board of Directors meeting of the year. The report should include observations and suggestions relative to the financial affairs of the BRBC

–Reimburse BRBC members for expenses relating to BRBC affairs provided documentary evidence is furnished

–While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for the succeeding year

–Before leaving office, provide a smooth transition for the Treasurer/Secretary-elect by guiding him/her in those areas necessary to fulfill official responsibilities

  1. Recording Secretary

-Keep a record of the minutes of the Board and general membership meetings. The minutes are to be recorded in an accurate, understandable manner reflecting the essence of discussion. Motions are to be recorded verbatim and results of votes noted exactly

-Distribute the minutes to all Directors as soon as possible after the meeting. Additions or corrections shall be made as directed.

-Have a firm understanding of the BRBC’s Bylaws

-Maintain the originals of the BRBC’s Articles of Incorporation and Bylaws including records of proposed changes and deleted or changed Bylaws

-Provide copies of the Articles and Bylaws to the directors and other BRBC members who request them

-Maintain a permanent file of minutes, policy resolutions, and correspondence by BRBC officers or any member acting in behalf of the BRBC

-Maintain a current list of all directors and their respective addresses and home/business phone numbers

-Notify new officers of their nomination and election

-Maintain and inventory of BRBC property, including its location

-While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for the succeeding year

-Before leaving office, provide a smooth transition for the Treasurer-elect by guiding him/her in those areas necessary to fulfill official responsibilities

 

 

  1. Membership Chairman

–Develop membership recruitment and retention activities consistent with BRBC goals

–Examine completed membership application for compliance with Article III, Section 2 and 3. If not in compliance, return the application with a short note stating the reason

–Ensure members are provided any material benefits of membership such as cards, T-shirts, etc.

–Forward dues to Treasurer

–Maintain a current membership list

–Validate the membership of those who submit absentee ballots for the election of officers as outlined in Article VI, Section 7

–Provide current contact information for the BRBC communications

–While participating in Club activities identify and enlist qualified BRBC members as potential officers for the succeeding year

–Before leaving office, provide a smooth transition for the Membership Secretary-elect by guiding him/her in those areas necessary to fulfill official responsibilities

  1. Publicity Chairman

–Oversee the production of the BRBC member communications

–Publish regular updates for BRBC members

–Publish updates as needed for general public

–Obtain ride schedules from Ride Chairman by the copy deadline

–Edit all material submitted for publication

–Prior to publication notify the donor of any material or article submitted of any editing or rewriting

-Compile BRBC news and other noteworthy events into suitable vignettes for publication

–Edit the minutes of BRBC meetings supplied by the Treasurer/Secretary for publication, if appropriate

–Maintain an archive of access information for media accounts including usernames and passwords

–Update social media regularly

–Updated passwords as needed

–Keep custody of BRBC merchandise for sale to membership

–Prepare and mail notices to members where such communication by other means is not possible

–Work with the Membership Secretary to include two complete membership lists in the newsletter as described in Article V, Section 4. Periodically include an updated membership list in the newsletter

–Be the BRBC consultant on matters involving printing

–While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for the succeeding year

–Before leaving office, provide a smooth transition for the Communications Chairman-elect by guiding him in those areas necessary to fulfill official responsibilities

-Oversee the production of all BRBC publicity for print and broadcast media and live engagements

-Generate publicity for BRBC activities and events

-Work with Ride Chairman to promote rides to the general public

-Work with Membership Chair to promote membership events to the general public

-While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for succeeding year

-Before leaving office, provide a smooth transition for the Publicity Chairman-elect by guiding him/her in those areas necessary to fulfill official responsibilities

 

  1. Ride Chairman

–Develop and schedule rides throughout the year. Coordinate this schedule with ride leaders

–Recruit and train ride leaders

–Provide the Communications Chairman with the ride schedule by the copy deadline

–Provide ride leaders with membership applications, sign-in sheets, waivers, handouts as appropriate

–Work with the President and other BRBC members to schedule social activities and to determine the rides to be used

–Assist the President in planning and coordination of events

–Arrange for sag wagon and registration for century rides and other events that may require it

–Maintain an archive of all original touring maps, parish and/or county highway maps, past and present newsletters/ride schedules

–On new rides insure that new maps are provided

–While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for the succeeding year

–Before leaving office, provide a smooth transition for the Ride Chairman-elect by guiding him/her in those areas necessary to fulfill official responsibilities

  1. Advocacy Chairman

 

-To be responsible for redistributing LAB and Alliance communications and publications to the appropriate board members

-To be responsible for researching appropriate advocacy topics and presenting at Board and general meetings

-To report LAB and Alliance agendas, campaigns, news and events to BRBC members through the BRBC Communications

-To act as primary liaison between the LAB and Alliance staff and the BRBC

-To promote the LAB and the Alliance

-To work with Publicity Chairman and BRBC members in setting up a “volunteer network” for promoting bicycling at activities, i.e: representing the BRBC at events

-To contact people such as bike shop owners to distribute BRBC materials and inform them about local cycling issues

-To keep the BRBC appraised of bicycle advocacy and education at the local, state, and national levels through BRBC communications

-While participating in BRBC activities, identify and enlist qualified BRBC members as potential officers for the succeeding year

-Maintain current LAB and Alliance memberships by notifying the Treasurer when memberships are due to renew

-Before leaving office, provide a smooth transition for the League of American Bicyclists Representative-elect by guiding him in those areas necessary to fulfill official responsibility
